Taxi driver record keeping: exporting trips and expenses to CSV

Pro exports your trips and your expenses as two separate CSV files, one row per entry, for whatever period you pick. Open them in a spreadsheet yourself or hand them straight to your accountant each quarter to cut down on bookkeeping time. The app keeps the records; it does not calculate or file your tax.

Why export at all

If you are self-employed, you almost certainly have to keep a record of fares and costs and declare the profit. A spreadsheet built straight from the meter's own numbers beats re-typing a receipt book by hand, and it leaves far fewer gaps for an inspector to question.

How to export

  1. Open the Earnings tab.
  2. Choose the period: Week, Month, Year or All. The export contains only that period.
  3. Scroll to the bottom and tap Export trips CSV.
  4. Pick where to send it: Files, Mail, Messages or any app that opens spreadsheets.
  5. If you logged expenses in that period, tap Export expenses CSV too.

On the free tier the button just reads Export CSV — Pro and bounces you to the upgrade screen. No trial export, no sample file.

Columns in the trips file

One row per saved trip

Columns in the expenses file

Date, Category, Amount, Currency, Note and Shift. Categories are the ones you picked when logging: Fuel, Maintenance, Tolls, Cleaning, Insurance, Commission, Parking or Other.

Worked example: a month in a spreadsheet

Say you exported Month and the evening shift from the earnings guide is in it: fares of 15.20, 21.70, 19.75, 4.00 and 13.20, fuel 28.00 and parking 3.50.

Sums you would get from the two files (EUR)

Total of TotalTrips file73.85
Total of Total where Payment is CashTrips file32.40
Total of AmountExpenses file31.50
Fares minus expensesBoth42.35

The same figures appear as Gross, Expenses and Net in the Earnings tab for that period, so you can check the export against the app.

What about PDF?

The trip log only exports as CSV — there is no bulk PDF. PDF lives at the per-trip level: each receipt can be shared as its own PDF with Pro, and a shift can go out as a text summary from its detail screen.

Keeping your records safe

  • Export at the end of each month and park the files somewhere other than the phone. A cracked screen can cost a whole quarter's records if the only copy is on the phone.
  • Signed in to iCloud, the app already keeps a copy of your trips, shifts and expenses there, under your own account.
  • Delete a trip in the app and it disappears from future exports too, so do that before you export, not after.

Questions and answers

How do taxi drivers pay tax?
It depends on your country and whether you are employed or self-employed — plenty of drivers declare their profit on a yearly return, but no single answer covers every jurisdiction. The app only hands you the trip and expense records to work from.
Can I export only one month?
Yes. The export follows the period picked in the Earnings tab: Week, Month, Year or All.
Does the export include cash trips?
Yes, every saved trip is included, with the payment method in the Payment column so you can separate cash from card.
Is CSV export free?
No, CSV export is part of Pro. The free version still keeps up to 10 trips with text receipts you can share one by one.
