Photo inspection report on iPhone: what the PDF looks like and how to make it
The actual PDF matters more than a marketing screenshot of one. GeoProof turns the photos of one project into an A4 report: a header with the project name, description and attributes, then every photo with its caption, capture date and time, coordinates, altitude, GPS accuracy and a verification line. Shoot, caption, open Export Report, tap PDF Report. The report itself is free; your company name and logo need Pro.
What the exported PDF contains
This is a real layout, not a mock-up. Say you inspect a flat at move-out and take 3 photos in a project called Unit 4B: a water stain under the sink, a cracked window pane, a loose bathroom tile. Default layout, 2 photos per page — GeoProof builds a 2-page A4 PDF.
| Where | What is printed |
|---|---|
| Page 1, header | Project name as the title; your company name (Pro); the project description and one line with your attributes (for example Client and Ref); Generated with the date and time |
| Page 1, top right | A QR code labelled Scan to locate, which opens the first photo's position in Apple Maps (optional); your logo above it with Pro |
| Page 1, body | Photo 1 and photo 2, each with its caption in bold and a data line under it |
| Page 2 | The project name as a smaller title, then photo 3; a signature line with the signer's name and Date if you typed a name |
| Every page, footer | Made with GeoProof (free) or your company name (Pro), and Page 1, Page 2 |
The data line under each photo reads like this: capture date and time · 37.798300°, -122.377800° · 64 m · ±5 m · ✓ Verified capture. That is the coordinate in the format set in Settings > Coordinate format (decimal here; MGRS or UTM if you pick them), the altitude, the accuracy the phone reported, and the result of the tamper check. A photo whose file changed after capture shows ⚠ Verification failed instead.
The image itself carries the stamp you shot with (for the Inspection template: date and time, coordinates, address, accuracy and an Inspected by: line) plus your arrows and boxes, as long as Burn GPS overlay into photos is on. Turn it off and the PDF uses the clean original, without the stamp and without your annotations. The printed words Generated, Scan to locate, Signature, Date and Page, and the check line, are in English whatever language your phone uses.
| Photos per page | 3 photos | 24 photos |
|---|---|---|
| 1 — full page | 3 pages | 24 pages |
| 2 — half page | 2 pages | 12 pages |
| 4 — grid | 1 page | 6 pages |
Free vs Pro, and what this report is not
- Free: the PDF report with every layout option, the signature line and the QR code. Photos inside the PDF carry no watermark, but each page footer says Made with GeoProof.
- Free limits: 20 camera captures per calendar month (the 3 photos above leave 17) and 1 project. Photos imported from the library do not count, but they are not signed, so they get no verification line.
- The report always includes every photo in the project, oldest first. Photos and projects cannot be deleted in the current version, so on the free plan every report comes from that one project and grows with it.
- Pro: unlimited captures and projects, your Company name and Company logo from Settings > Branding, no GeoProof footer, and the data exports (Excel (XLSX), CSV Spreadsheet, GPX Waypoints, KML (Google Earth), ZIP (all photos), Share project bundle (.geoproof)). A free user can get one data export with Watch ad for 1 free data export, never the branding.
- Not a certified document: the signature line is a typed name, not a digital signature; date, time and position are what the phone's clock and GPS reported; no time zone is printed; and the verification line only reflects the check GeoProof ran inside the app when it built the PDF. The PDF file itself cannot be verified by anyone else.
The manual alternative is pasting photos into a Word doc and retyping every coordinate from memory, which invites mistakes. Doing it in GeoProof instead means the time, position and accuracy get recorded at the shutter, the caption travels with the photo, and the report can be ready before leaving the site.
The workflow: project, 3 photos, context, export, share
- Project: on the Projects tab tap + for New Project, give it a Name, an optional description and Type Inspection, then Create. The type sets the Inspection stamp on the camera.
- Photos: on the Camera tab, wait until the GPS badge shows a small ± figure, then take one photo per finding. Here, 3 photos.
- Context: in the project, add Attributes (a Field and a Value, such as Client or Ref) for the header. Open each photo, type what you found in Add an observation… and use Annotate to put an Arrow or a Box on the defect.
- Export: tap the export icon to open Export Report. Under PDF layout choose Photos per page, keep Burn GPS overlay into photos on, and decide on Scan-to-locate QR code. Type a name in Signed by (optional) if you want the signature line.
- Share: tap PDF Report under Generate. The share sheet opens: mail it, save it to Files, send it in a chat or print it.
When the inspection needs measurements or waypoints
GeoProof documents what you saw and where. If the job also needs the size of the plot or the length of a boundary, measure it in our LandMeasure app. If you need to save named points and walk back to them later, our FieldGrid app keeps waypoints with distance and bearing. Both are linked at the end of this page.
Common mistakes
- Leaving captions empty. The caption is the only text the reader sees next to each photo.
- Choosing 4 — grid for small defects. Use 1 or 2 per page when the detail matters.
- Switching off Burn GPS overlay into photos and wondering where the arrows went: annotations are part of that overlay.
- Shooting indoors without checking the ± figure. An accuracy of tens of metres is printed as it is.
